This English text is a translation provided for information only. The Spanish version of this document is the original and prevails in the event of any discrepancy.
1. Who processes your data
1.1. Cannasys Maps is an informational directory of private cannabis associations in Spain, available at maps.cannasys.co (hereinafter, “the Service”). We help you discover clubs, compare their profiles, save them to favourites, send them membership requests, sign up for their events and publish reviews. We are not a club, we do not sell or supply cannabis or any other product, and membership of each association is decided solely by the club itself.
1.2. Data controller: QUASAR SMART TECHNOLOGIES SL · NIF B05407887 · Calle Maestro Clave 1-1, 46001 Valencia. Contact address for any data protection matter: info@cannasys.co. You can also write to us from the “Contact” page. QUASAR SMART TECHNOLOGIES, S.L. also provides some clubs with the Cannasys management system (cannasys.app) as a processor: members' data in that system is the responsibility of each club (section 2.12).
1.3. We have not appointed a Data Protection Officer. For any data protection question, write to us at info@cannasys.co; if we do appoint one, we will publish their contact details here.
1.4. This policy is governed by Regulation (EU) 2016/679, the General Data Protection Regulation (GDPR), by Organic Law 3/2018 on the Protection of Personal Data and guarantee of digital rights (LOPDGDD) and, as regards the Service as a website, by Law 34/2002 on information society services and electronic commerce (LSSI-CE). Here we explain, in the clearest possible language, what data we process, what for, on what legal basis, how long we keep it and what rights you have.
1.5. The Service is intended exclusively for people aged 18 and over.
2. What data we process
2.1. Your account
- email address;
- password — stored only as a cryptographic hash, never in clear text;
- name;
- phone number (if you provide it);
- city (if you provide it, to fill in requests faster); for the same purpose, your date of birth, if you save it in your profile or type it in your first request (it is then saved in your profile to fill in the next ones; you can change or delete it in “Edit profile”).
If you sign in with “Continue with Google” or “Continue with Apple”, we receive your provider account identifier and, when supplied, your email address and name to create, find or link your Maps account. We do not receive your Google or Apple password. Apple may provide a private relay address instead of your real email. We store Apple authorizations encrypted so that we can revoke access when you delete your account; if Apple cannot revoke access at that moment, the account is retained so that you can retry deletion.
2.1.a. Data obtained when you sign in with Google
On the website and in the iOS and Android apps, “Continue with Google” requests only the openid, email and profile permissions. We read your Google account identifier, email address, whether Google has verified it and your name, when available. We do not access Gmail, Google Drive, your contacts or calendars; we do not receive your password or import your Google profile photo.
We use your Google identifier to recognise you, create or find your Cannasys Maps account and link it when appropriate. Your email and name become part of your profile and are used for the features you request: managing your account, sending service emails and completing requests or reviews. You can edit your name in your profile. Cannasys Connect membership discovery uses a hash of your email, as explained in section 5.2. We do not sell this data or use it for personalised advertising or to train artificial intelligence models.
We store your Google identifier linked to your account and your profile data in the Service database while your account exists. The identity token is used to verify sign-in; we do not store Google access or refresh tokens. Communications are encrypted over HTTPS and access to data is restricted through session and role controls. Storage and providers are described in sections 5 and 8.
Your Google identifier is not published or sent to clubs. Profile data may be processed by our hosting and email providers to deliver the Service and by authorised staff for support and security. A club receives the name and email you include when you send it a request; the visible author name on a review is public. Other recipients and disclosures to authorities are detailed in section 5.
You can delete your account from Profile → Settings → Delete account in the app, from your personal area on the website or request deletion at info@cannasys.co. Once deletion completes, your Google account link and profile are deleted. Requests already sent and published reviews may retain their data as described in section 4; you can also request their erasure as explained in section 7. Removing Cannasys Maps access in your Google account settings does not by itself delete your Maps account.
2.2. Membership requests to clubs
- name, phone and email address (by default, your account email; you can give another one you would rather the club wrote to);
- date of birth — we process it solely and exclusively to check that you meet the minimum age: 18, or the club's own minimum if higher (e.g. 21) and, only if you tick the pre-registration box, to disclose it to the club (section 2.12). We do not use it for any other purpose or to build profiles;
- the message or comment attached to your request.
Requests can only be sent from a registered account. The data in your request is disclosed to the club you choose, so that it can contact you and assess the request under its own statutes. From that point on, that club is the controller of that data on its own account. Remember: membership is decided by each club. If the club is connected to Cannasys, you can also ask to pre-register (section 2.12). If you are already a member of other clubs linked in “My clubs”, you can tick the optional box “Show the club which other clubs I'm already a member of” (unticked by default): only then do we add the names of those clubs to the request, and only the club you send it to can see them.
2.3. Favourites
The list of clubs you save to favourites (the “account — club” relationship and the date you added it). The club does not know who saved it: it only sees how many people have it in their favourites, in total. Each saved club has a “Club notifications” switch, turned on by default when you save it (unless you have reported an invitation from that club); you can turn it off at any time. We store its state and the date you last turned it on or off. While it is on, the club — if it can send invitations — sees a pseudonymous entry (“User · saved on …”, with the day you saved the club, without your name, email or phone) to which it can send a single short invitation (section 2.15). Your name and date of birth only reach the club if you reply to that invitation. If you turn it off or remove the club from your favourites, the club no longer sees that entry and can no longer send you invitations.
2.4. Reviews
- the author's display name (fixed at the moment the review is published);
- the text of the review and the rating.
Reviews are public: anyone visiting the Service can read them, and search engines can index them. Bear this in mind before writing something that identifies you. When writing a review you can choose to publish it anonymously (and change this later in “My reviews”): then your name is shown neither on the Service nor in the club's panel, only “Anonymous member”; the name stays stored with the review and only our moderation team can see it. You can add an optional profile photo: an approved photo is public and can appear beside your non-anonymous reviews. Anonymous reviews never show your photo. You can replace or remove it in your profile; we delete the previous photo and delete your photos when you delete your account.
2.5. Data of club representatives (B2B)
- club data: name, description, phone, website, email address, address, amenities;
- documents provided for the “Documents verified” check: the association's statutes and its entry in the relevant register of associations;
- when claiming your club (linking an existing listing): first and last name, stated role and, if you wish to provide it, a supporting document;
- when applying to add a new club: name, email address and contact phone of the applicant.
- the content the club publishes in the Service (listing texts and photos, events, notices to members and invitations), the account of the team member who submits it and the history of its review before publication (section 2.16).
2.6. Support
- the subject and text of your enquiry;
- attached files (if any);
- the reference to the request your enquiry relates to.
2.7. Notifications
- your notification inbox inside the Service (subject, text, read status);
- the browser push subscription data (endpoint and technical encryption keys) — only if you enable push notifications.
2.8. Search history
If you have an account, your search history is stored in our database. If you browse as a guest, it is stored only on your device (localStorage) and is not sent to our servers. The text of an individual search may be transmitted to the assistant's technology provider in order to interpret it, only in the cases described in section 5; your history does not leave the Service.
2.9. AI assistant
The text of the messages you write to the assistant and the conversation identifier. We process it only to generate the reply; the message is transmitted to the assistant's technology provider (section 5). Avoid writing personal data in the chat that is not needed.
2.10. Technical data
- IP address and HTTP request data — recorded in the server logs and in the systems that protect against abuse (request rate limiting);
- cookies and browser storage — see the Cookie policy.
2.11. Cannasys Maps mobile app
The Cannasys Maps app for iOS and Android shows the same directory as the website and is published by the same controller (section 1). You do not need an account to browse the catalogue, the map or club pages. The app contains no advertising, includes no analytics or tracking tools of its own, and does not let you buy or pay for anything. If you use the app, we process:
- your account: email address and, if you add them, your name, phone number and city (the same as on the website, section 2.1). If you are signed in, have entered your city and do not share your location, the app uses that city to show you its clubs first in the catalogue and on the map;
- your membership requests: the form data (name, phone, email, date of birth and comments) and your confirmation that you meet the minimum age (18, or the club's own minimum if higher); the server rejects the request if the date of birth does not belong to an adult or is below the club's minimum age. The club you choose receives them (section 2.2). If the club is connected to Cannasys, the form also includes the optional pre-registration box (section 2.12), and in “My clubs” you can see whether your pre-registration is pending verification at the club;
- the messages you exchange with the club about your request. If you block a club’s chat, we stop sending you notifications about that chat;
- your reviews, your favourite clubs and your support requests, including content reports (“Report”), just as on the website (sections 2.3, 2.4 and 2.6);
- your event sign-ups (“My events”), the notices from clubs whose card you have linked, the invitations you receive and the “Club notifications” switch of each favourite, just as on the website (sections 2.3, 2.13, 2.14 and 2.15). In the app you can turn off a club's notifications (on its card and in your favourites), turn off the “Notices from my clubs”, “Invitations from clubs” and “My events” groups in Settings, and report a notice or an invitation;
- if your account belongs to a club (owner or manager), the “Requests” tab shows the membership requests your club receives — with the data each applicant sent — and their chat, and the app notifies you by push of new requests, messages, cancellations and unanswered-request reminders. This is the same data you see in the club panel on the website; nothing is bought or subscribed to in the app;
- push notifications, only if you turn them on: your device’s notification identifier, the platform (iOS or Android), the language of the notifications, the app version and whether you want the content shown on the lock screen. It is linked to your session and is deleted when you sign out, change your password, when the session expires, when you delete your account or when the system reports that the app is no longer installed. The text of each notification is kept in the sending queue for at most 7 days after delivery (30 days if it could not be delivered). By default, notifications do not show the club name or the message text;
- your approximate location, only if you have given the app location permission (we do not ask for it when the app opens: the “Near me” button does). On your device it is used to centre the map. In addition, rounded to about 1 km, it is sent to our server with each catalogue, map and events-list request, solely to order the clubs by your city and how close they are and, in the events list, to show only events of clubs within about 50 km, nearest first. We do not store it and we do not write it to the technical logs (it is replaced by a marker). You can withdraw the permission in your phone settings; without it, the order does not use your location and the events list shows events across Spain;
- the age confirmation shown on first launch, which is stored only on your device;
- technical access logs: our server records each request (method, requested address — without your approximate location —, result) with the originating network — not the full IP address: the last part is zeroed — and a technical pseudonym, without linking them to your account. The text you type in the catalogue search is used to show you results and, without linking it to your account, for aggregated search statistics;
- the messages you write to the AI assistant (paw button in “Clubs” and “Map”) and the history of that conversation: they are sent without linking them to your account, only to generate the answer, and are passed to the assistant's technology provider, which acts on our behalf (section 2.9 and section 5). The conversation is not stored on your device. Avoid writing personal data in the chat that is not needed;
- on Android, the map is provided by the Google Maps SDK, which collects technical data on its own (device model, errors, IP address and an SDK identifier) under Google’s privacy policy. On iOS the map is Apple Maps, built into the system.
Please note that applying to join a cannabis association may reveal sensitive information about you; that is why notifications do not show the club name on the lock screen unless you turn it on in Profile → Settings. We process app data for the same purposes, on the same legal bases and for the same periods as website data (sections 3 and 4).
You can delete your account from the app itself (Profile → Settings → Delete account) or from the website; the account is deleted on our server together with your devices’ notification identifiers. The app publisher’s details are in the Legal notice.
2.12. Pre-registration with clubs connected to Cannasys
Some clubs manage their members with Cannasys (cannasys.app), a system that QUASAR SMART TECHNOLOGIES, S.L. provides to those clubs as a processor: members' data is the responsibility of each club, and QUASAR only processes it on the club's instructions and does not use it for Cannasys Maps beyond what this policy describes.
When you send a request to one of those clubs you can tick “I want to pre-register with this club”. Only if you tick it and the club approves your request do we disclose to that club your first and last name, date of birth, email address and phone number, so it can prepare your record and recognise you when you visit; we do not send your messages, who recommended you or any other data. The legal basis is your consent (Art. 6(1)(a) GDPR): it is optional, does not affect your request and can be withdrawn at any time from the request or from “My clubs”, without affecting the lawfulness of earlier processing. If you withdraw before approval nothing is sent; if you withdraw afterwards, the pre-registration is deleted from the club's system.
From disclosure onwards the club is the controller of that data and will inform you how it processes it. The club, through Cannasys, emails you a personal QR code to identify yourself at its premises; the code contains no personal data (only a random identifier); you can also show it from your card in Cannasys Maps (“Show QR”), where we store it encrypted and only you can see it (section 5.2), and it stops working if the pre-registration expires, you withdraw it or the club rejects it. When the club checks your identity and age in person and decides to admit you, it sends you your membership card (in Apple or Google Wallet, or a new code by email) and the pre-registration code is no longer valid. Pre-registration does not make you a member. If you do not complete verification within 30 days of the visit date you gave (or of the approval, if you gave none or it had already passed), the club deletes the pre-registration.
To be able to prove your consent we keep a minimal record (your account, the club, the version of this text and the dates you gave or withdrew consent and the data was sent) while the pre-registration or link exists and for three years afterwards. You can exercise your rights as described in section 7 — with us or with the club — and complain to the Spanish Data Protection Agency (aepd.es).
2.13. Club events
Some clubs let you sign up for their events from their listing, on the website or in the app. If you sign up, we store your sign-up: the event, your account, its status (signed up, place held or cancelled), the dates and whether we have already sent you the reminder. In its panel the club sees your name (the one on your account or, if you have not provided one, the one on your request), the status of your sign-up and the date you signed up.
If you are a member of the club — you have its card linked in “My clubs” — you sign up directly. If you are not and the event is open to everyone, the sign-up goes together with a membership request to that club, with the same data as any other request (section 2.2), and your place is held until the club decides on it; if you already had an open request with that club, that one is used. We let you know if the event changes date or is cancelled, and we send you a reminder about 24 hours before. You can cancel your sign-up in “My events”; your request to the club, if any, stays open.
2.14. Notices from your clubs
Clubs connected to Cannasys can send short notices (a title, a text and, if they wish, a link to one of their events) to their members who have their card linked in “My clubs”. If you have a club's card linked, by default you receive its notices in your notification inbox and, if you have push notifications turned on, also as a notification; you also see them on that club's card, in “My clubs”. To know who a notice reaches we use the card link that already exists (section 5.2).
Notice notifications are on by default. You can turn them off for a particular club with the “Club notifications” switch on its card — you will still see its notices there — or all of them with the “Notices from my clubs” setting; we store that choice. If you report a notice (“Report”), we store the report (your account, the notice, the date and the reason, if you give one) so that our team can review it. The club only sees how many members each notice reaches: it does not know who has read it, who has turned notifications off or who has reported it.
2.15. Invitations from clubs
If you have “Club notifications” on for a club saved in your favourites (section 2.3; they are on by default), that club can send you a single invitation: a short text that we review before it is sent (section 2.16). It reaches your notification inbox, “Invitations” in your account and, if you have push notifications turned on, arrives as a notification. We store the invitation, its status and its dates. You can reply to it for 30 days from when it arrives; after that it expires and can no longer be answered.
If you reply, a request to that club is opened with the name (by default, the one on your account) and date of birth you write in the reply and with your message: this is the same data as in a request, without phone or email, and the conversation continues in “My requests”. Only then does the club learn who you are. As with any request, the date of birth is used to check the club's minimum age (section 2.2). If you decline it (“No, thanks”), the club is not told: for the club the invitation remains “sent” and, after 30 days, shows as “expired”. If you report it (“Report”), we store the report (your account, the invitation, the date and the reason, if you give one) so that our team can review it, that club can no longer send you invitations and its “Club notifications” are turned off in your favourites (also if you save it again, until you turn them on yourself); the club does not learn that you reported it either. You can turn off invitation notifications with the “Invitations from clubs” setting.
2.16. Automated review of content and profile photos
Before it goes live, everything a club wants to publish in the Service — the texts of its listing, its logo and gallery photos, the descriptions of its amenities, its events (text and cover image), its notices to members and the text of its invitations — goes through an automated review with artificial intelligence that checks it complies with the publishing rules: no prices, discounts or promotions, no invitations to consume and no product images, no references to minors, insults, third parties' personal data or spam. To do this we send that content (text and images) to the technology provider of the AI assistant, which acts on our behalf (section 5 and section 6.1). For club content review, we do not send data about users — neither about those who visit the listing nor about those who receive the notice or the invitation — nor the name or account of the person who publishes it. An optional profile photo is also sent as an image to OpenAI to check for sexual content, violence, minors, hate, third parties’ personal data, spam and product or consumption images. We remove image metadata before the review. We do not send the account name, email or identifier with the image and do not perform identity recognition. The image stays private until approval, and our team can resolve the review manually.
The outcome can be: it is published; it is rejected with a short reason, which the club sees and can correct; or it stays “Under review” if the automated review is not available at that moment: it is then not published until the system repeats the review or a member of our team resolves it. Our team can approve or reject any content manually, including content already rejected, and the club can ask us to review a rejection by writing to support. While a change is under review or has been rejected, the previous version stays published. We store the reviewed content, the decision, its reason and its date as the moderation history. The review decides which content is published; it does not decide whether someone can join a club.
2.17. Cannasys App demo requests
If you request a Cannasys App demo from the website (“Request a demo” form), we store your name, phone, email, the club, the member-count range, your preferred time, your message, the page you requested it from and the moment you gave your consent, and we send it by email to our sales team so that we can contact you about Cannasys App. The legal basis is your consent (art. 6.1.a GDPR), which you can withdraw at any time by writing to us; we keep the request for as long as it is needed to handle it or until you ask us to delete it. The Cannasys Maps app does not show this form.
3. What we use your data for and on what legal basis
3.1. Each processing operation relies on one of the legal bases in Article 6 GDPR:
- creating and managing your account, authenticating you, recovering access and signing in with Google and Apple — performance of the contract (Art. 6(1)(b): the Terms of use you accept when you register);
- storing the favourites and search history of your account and showing you your personal area — performance of the contract (Art. 6(1)(b));
- handling your membership request, forwarding it to the club you choose and showing you its status — performance of the contract (Art. 6(1)(b));
- checking with your date of birth that you are over 18 — legitimate interest (Art. 6(1)(f)) in a service reserved for adults being used only by adults, and compliance with the legal restrictions applicable to this sector;
- publishing your reviews and showing you the clubs' replies — consent (Art. 6(1)(a): you publish the review voluntarily and can withdraw it);
- verifying clubs and their representatives and granting the “Documents verified” badge — performance of the contract with the club (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)) in the reliability of the directory;
- handling your support enquiries — performance of the contract (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)) in resolving incidents;
- sending you service notifications by email and inside the Service — performance of the contract (Art. 6(1)(b)); push notifications additionally require your consent (Art. 6(1)(a)), which you can withdraw at any time from your account settings or your browser;
- replying to your messages in the AI assistant — performance of the contract (Art. 6(1)(b));
- charging clubs for the PRO and PRO+ plans and issuing the corresponding documentation — performance of the contract (Art. 6(1)(b)) and legal obligation (Art. 6(1)(c): commercial and tax legislation). This purpose applies from the moment we switch charging on: while PRO is free (section 5.3) no data is processed for it;
- obtaining aggregated usage statistics to improve the Service — consent (Art. 6(1)(a)), which you manage from the cookie notice and can withdraw whenever you want;
- maintaining the security of the Service, preventing abuse and diagnosing incidents (logs, request rate limiting) — legitimate interest (Art. 6(1)(f));
- responding to requirements from authorities and courts — legal obligation (Art. 6(1)(c));
- pre-registering you with a club connected to Cannasys and disclosing your details to it — consent (Art. 6(1)(a)), which you can withdraw at any time (section 2.12);
- proving that you gave your consent to pre-registration — legal obligation (Art. 6(1)(c), in connection with Art. 7(1) GDPR).
- signing you up for a club's events, disclosing your sign-up to that club and notifying you of changes, cancellations and the reminder — performance of the contract (Art. 6(1)(b)); if you are not a member, the request that accompanies the sign-up is governed by what is said for requests;
- sending you the notices of the clubs whose card you have linked — performance of the contract (Art. 6(1)(b)), like the other notifications of the Service; their notifications are on by default and you can turn them off per club or all of them at any time, and push notifications additionally require your consent, as stated above;
- showing a club saved in your favourites your pseudonymous entry and delivering its invitation — performance of the contract (Art. 6(1)(b)), like notices and the other notifications of the Service: the “Club notifications” switch is on by default and you can turn it off at any time in your favourites or by removing the club from your favourites; if you reply, your reply is processed as a membership request;
- automatically reviewing, before publication, the content that clubs publish — performance of the contract with the club (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)) in the directory not publishing content contrary to the law or to the Terms of use;
- handling reports of notices and invitations and applying their consequences (for example, that club being unable to invite you again) — performance of the contract (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)) in keeping the Service free from abuse;
3.2. Where the basis is legitimate interest, we have assessed that our interest does not override your rights; you can object to the processing by writing to us (section 7). Where the basis is consent, withdrawing it is as easy as giving it and does not affect the lawfulness of processing carried out before.
3.3. We do not sell your data, we do not use it for purposes incompatible with those described here and we do not take automated decisions producing legal effects on you. We do not process special categories of data under Article 9 GDPR: the fact that you consult an informational directory tells us nothing about your health or your habits, and we do not build consumption profiles.
4. How long we keep your data
- your account data (profile, favourites and their “Club notifications” switch, event sign-ups, notice preferences, invitations received and your reports of notices and invitations, search history, notifications, push subscriptions): for as long as the account exists. When you delete it, they are erased;
- membership requests: for as long as they are needed to evidence that they were sent and to handle possible claims; after that they are blocked until the legal actions that may arise become time-barred;
- reviews: for as long as they are published; you can request their erasure at any time;
- support enquiries: for the time needed to resolve them and to evidence that we resolved them;
- billing documentation for PRO subscriptions: for the periods required by Spanish commercial and tax legislation. This retention period applies from the moment we switch charging on (section 5.3): while PRO is free we issue no invoices and keep no payment documentation at all;
- technical logs: for a limited period, strictly the time needed for security and incident diagnosis;
- record of your consent to pre-registration (your account, the club, the version of the text and the dates you gave or withdrew consent and the data was sent; without your name, date of birth or phone number): while the pre-registration or club link exists and for three years afterwards. Deleting your account does not shorten this period. The first and last name you enter when ticking the box are kept only until they are sent to the club, or erased as soon as you withdraw the pre-registration or the request is cancelled.
4.1. You can delete your account from your personal area or by writing to us. Deleting it erases your profile, favourites (with their “Club notifications” switch), event sign-ups, notice preferences, invitations received, your reports of notices and invitations, search history, notifications, push subscriptions and support enquiries. A reply to an invitation is a request and is retained as such. Requests already sent and published reviews are unlinked from the account and retained, because they affect clubs and other users: the request keeps the contact details you provided when sending it, and the review keeps the display name fixed when it was published. If you want these erased as well, exercise your right to erasure (section 7).
4.2. Data already disclosed to a club is kept by that club under its own policy; to have it erased, contact the club directly. For pre-registration (section 2.12), if you do not complete verification at the club within 30 days of your visit date (or of the approval), the club deletes that data.
5. Who we disclose your data to
5.1. We do not sell your personal data and we do not transfer it to third parties for advertising purposes. We only disclose it to the extent necessary for the Service to work:
- to the club you choose — the data of the membership request you send it, so that it can contact you and process it; if you sign up for one of its events, your name and the status of your sign-up (section 2.13), and if you reply to one of its invitations, the name, date of birth and message of your reply (section 2.15). From your favourites and from its notices the club only receives figures, except for the pseudonymous entry described in section 2.3. The club acts as an independent controller of that data;
- to providers acting on our behalf (processors, Art. 28 GDPR, under a signed contract): they may only process the data following our instructions and may not use it for their own purposes. They are listed below;
- to the competent authorities — only where a legal rule requires us to do so.

| AI assistant replies: the text of your message in the chat and the history of that conversation are sent; also the text of a catalogue search, only when that search returns no results, when it is a long phrase written in natural language, or when you press “Ask the assistant”; your account, your name and your email address are not sent | OpenAI | USA (outside the EEA, under standard contractual clauses) |
| Automatic review before publication of club content and optional profile photos (section 2.16); photo metadata is removed and the account name, email and identifier are not attached | OpenAI | USA (outside the EEA, under standard contractual clauses) |
| Cannasys Connect: finding your memberships in connected clubs and keeping your membership card up to date (including the access code the club issues to you), if you use that feature and, if you ask for it, pre-registering you with a club | Cannasys CRM (cannasys.app) | Netherlands (EEA) |
5.2. The bridge with the Cannasys CRM (cannasys.app), which is where connected clubs manage their members, only works at your initiative. To find out whether a connected club has you as a member we do not send your email address: we send only a cryptographic hash (HMAC) of your normalised address. That search is triggered when you confirm your email address, when you sign in with Google or Apple, when you reset your password without having confirmed your address beforehand, when you open “My clubs” (at most once a day) or when you request it yourself from that same screen. If there is a match, a notice appears that only you can see, and nothing else happens until you press “Link”: only then do we send the CRM the technical identifiers of the club and of the link — the same ones later used to keep your card up to date and to unlink it — and only then does the CRM return to us the summary of your membership (member name and number, credits, discount, tier, status and fee expiry date, links to your digital card) and only then does that club see you in its panel as a linked member. If the club has issued you an access code (the QR code you show at the entrance), the CRM sends it to us with that summary and whenever the club renews or cancels it, so that you can show it from your card in Cannasys Maps (the “Show QR” button, on the website and in the app). The code contains no personal data (it is a random identifier); we store it encrypted, only you can see it, we do not use it for anything else and we delete it as soon as you unlink the card, the club cancels it or ends your membership, the pre-registration expires or is withdrawn, or you delete your account. You can undo the link whenever you want from your account settings. If you ask to pre-register with a connected club (section 2.12), when the club approves your request we also disclose your first and last name, date of birth, email and phone number to it.
5.3. We do not currently charge for PRO subscriptions — the PRO plan is free for all clubs during the launch promotion — so the Service does not process payment data or bank card data, and there is no payment provider in the table above. When we switch charging on, we will complete this policy with the chosen provider and its role before any payment data is processed.
5.4. The club information published in the directory (name, description, contact details, ratings, reviews) is visible to anyone visiting the Service. It comes from publicly available sources and from the clubs themselves.
6. International transfers
6.1. Our aim is for data to be processed within the European Economic Area (EEA). The hosting of the Service and the Cannasys CRM meet that aim, but there are cases in which the processing leaves, or may leave, the EEA, and we prefer to say so clearly:
- Google — the directory map loads in your browser from Google's servers, and from ours we query its geocoding and business listing services; in addition, the “Continue with Google” button authenticates you with Google and, if you accept the “Analytics” category, your browser loads Google Analytics 4 and sends it the pages of the Service you visit. For EEA users the provider is Google Ireland Limited, but part of the processing may take place in the United States by Google LLC, covered by the adequacy decision of the EU-US Data Privacy Framework and by standard contractual clauses;
- push notifications — if you enable them, the notice is delivered through the push service of your browser vendor (Google, Mozilla, Apple or Microsoft), which may be outside the EEA. It only receives your browser's technical endpoint and the encrypted content of the notice;
- email — service emails (address verification, password recovery, notices) go out through PrivateEmail, the email service of Namecheap, a US company: it receives your email address and the content of the message we send you. The transfer is covered by the safeguards of Chapter V GDPR (standard contractual clauses);
- AI assistant — the text you write in the chat and the history of that same conversation leave our server for OpenAI, in the United States, in order to generate the reply. The text of a catalogue search takes the same path, but only when that search returns no results, when it is a long phrase written in natural language (for example with “looking”, “want” or “where”), or when you press “Ask the assistant”: the rest of your searches never reach OpenAI, and the search box never waits for the AI. In those cases we also send the filters you already have applied and a list of catalogue clubs (name, city and category), so that the search is turned into filters and into clubs from that same list. We do not send club descriptions, your account, your name, your email address or your IP address. The transfer is covered by the safeguards of Chapter V GDPR (standard contractual clauses). This is why we ask you not to write personal data that is not needed, either in the chat or in the search box;
- Cloudflare — all site traffic passes through Cloudflare's network, which delivers it, caches it and protects it against attacks; to do so it sees your IP address and the request data. The request comes in through the nearest node, usually in the EU, but the provider is a US company and part of the processing may take place outside the EEA, covered by standard contractual clauses.
- automated review of clubs' content — the texts and images a club wants to publish (listing, logo, photos, amenities, events, notices and invitations) leave our server for OpenAI, in the United States, the same provider as the AI assistant, to check that they comply with the publishing rules before they are published (section 2.16). For club content we do not send data about users or the name or account of the person who publishes. The transfer is covered by the safeguards of Chapter V GDPR (standard contractual clauses). We also send the optional profile photo to OpenAI, without image metadata or the account name, email or identifier, for review before publication.
6.2. The two pieces that store your data stay within the EEA: the hosting of the Service (site, database and files) is in Poland and the Cannasys CRM is in the Netherlands. If we change provider or add a new one, we will keep the same criterion — processing within the EEA wherever possible and, where that is not possible, a transfer covered by the safeguards of Chapter V GDPR (adequacy decision or standard contractual clauses, with any additional measures required) — and we will update this policy before any data begins to be processed.
6.3. You can ask us for a copy of the safeguards applied to any of these transfers by writing to info@cannasys.co.
7. Your rights and how to exercise them
7.1. Articles 15 to 22 GDPR and the LOPDGDD grant you these rights:
- access — to know whether we process your data and to obtain a copy;
- rectification — to correct inaccurate data or complete missing data;
- erasure — to ask us to delete your data (“right to be forgotten”);
- objection — to object to processing based on our legitimate interest;
- restriction — to ask us to keep the data but stop using it while a claim of yours is resolved;
- portability — to receive the data you gave us in a structured, commonly used format, or to have us send it to another controller;
- to withdraw consent at any time, without this affecting the lawfulness of the previous processing.
7.2. How to exercise them: many things you can do yourself — change your data, withdraw consent for push notifications or delete your account — from your personal area. For everything else, write to us at info@cannasys.co stating which right you want to exercise. If we cannot identify you with certainty, we will ask you for some additional detail; we do not charge anything for handling these requests.
7.3. Response time: we will reply without undue delay and, in any case, within one month of receiving your request. If the request is particularly complex, that period may be extended by up to two further months, and we would tell you within the first month, explaining why.
7.4. Complaint to the supervisory authority: if you believe we have not handled your data properly, you can lodge a complaint with the Spanish Data Protection Agency (AEPD), the competent supervisory authority in Spain — www.aepd.es. We would love you to give us the chance to resolve it first.
7.5. Please note that if you withdraw consent or request the erasure of the data needed for your account to work, you will lose access to the personal area.
8. How we protect your data
- passwords are stored only as cryptographic hashes (bcrypt);
- session tokens travel in cookies with the httpOnly attribute, inaccessible to the page's scripts;
- role-based access control: request data and personal area data are seen only by authorised people (you, the representatives of the relevant club and our staff);
- the connection to the Service is encrypted with HTTPS (TLS);
- request rate limiting and event logging to prevent abuse;
- passwords, tokens and request bodies are not written to the logs.
If a security breach ever occurred with a risk to your rights, we would notify the AEPD and, where the risk was high, you as well.
9. Minors
The Service is intended exclusively for people aged 18 and over. We do not target minors and we do not knowingly process their data: the date of birth we ask for in requests (including those that accompany an event sign-up and replies to invitations) serves precisely to check that you are of age. If we detect an account belonging to a person under 18, we will delete it together with their data. If you are a parent or guardian and believe that a minor in your care has registered, write to us at info@cannasys.co and we will sort it out.
10. Cookies and browser storage
Which cookies and browser storage entries we use, what they are for and how to manage them is described in the Cookie policy. That is also where you manage consent for analytics.
11. Changes to this policy
11.1. We may update this policy. The new version is published on this same page with its effective date. If the change is substantial, we will tell you through the Service's channels.
11.2. The version in force is always available at /privacy.
12. Contact
For any question about this policy or to exercise your rights, write to us at info@cannasys.co. Questions about how the Service works are handled by support — you will find its address and other channels on the “Contact” page. The conditions of the Service are in the Terms of use.
